Executive Assistant Job Description

We are seeking a proactive Executive Assistant to provide exceptional support for our eCommerce operations and leadership team. In this role, you will coordinate travel, manage schedules, and handle email communications to keep operations running smoothly.

Responsibilities include organizing meetings, preparing reports, and managing sensitive documents. You will also assist with project management, oversee social media content, and support events such as product launches and promotional campaigns. In this role, you will: 

  • Coordinate and manage travel arrangements for conferences, trade shows, or client visits related to eCommerce operations.
  • Oversee real-time inbox and email management, promptly responding to customer inquiries, vendor communications, and internal updates.
  • Organize and manage schedules and calendars to ensure timely project management, especially during peak eCommerce seasons.
  • Handle a variety of professional and personal administrative tasks, including scheduling appointments and managing eCommerce-related deadlines.
  • Record meeting minutes for strategy discussions, vendor negotiations, and team planning sessions.
  • Support various special projects or tasks to enhance eCommerce growth and operations.
  • Plan and execute internal meetings for team collaboration on eCommerce goals, as well as client or vendor meetings.
  • Organize and coordinate events, such as promotional campaigns, product launches, and team-building activities.
  • Review and prepare documents related to inventory, order processing, or customer service protocols.
  • Manage sensitive information, such as vendor contracts, financial data, and customer details, with confidentiality.
  • Generate reports, presentations, and spreadsheets for sales performance, customer analytics, and marketing metrics.
  • Compile and analyze data for insights into customer behavior, sales trends, and operational efficiency.
  • Conduct basic research on market trends, competitor strategies, and emerging eCommerce tools.
  • Post and manage social media content to engage customers and promote eCommerce products or promotions.
  • Oversee office management tasks, including ordering supplies and coordinating with vendors to support eCommerce operations.
  • Perform basic accounting and bookkeeping, such as tracking revenue, expenses, and invoicing for eCommerce transactions.
  • Assist with project management, tracking progress on key eCommerce initiatives and ensuring timely completion.

Essential Skills & Qualifications:

  • Strong attention to detail and organizational skills essential for managing schedules, inventory, and deadlines.
  • Proficiency in Google Workspace and Microsoft Office tools for creating reports, presentations, and managing data.
  • Excellent time management skills with the ability to meet deadlines during high-demand eCommerce periods.
  • Self-motivated and able to work independently in a fast-paced eCommerce environment.
  • Exceptional communication skills for collaborating with cross-functional teams, vendors, and customers.

Preferred Qualifications:

  • Experience coordinating travel arrangements and managing calendars for executives.
  • Proven ability to handle sensitive information with confidentiality and professionalism.
  • Familiarity with eCommerce workflows, including order processing and marketing initiatives.
  • Experience compiling and analyzing data for insights into customer behavior, sales trends, and operational efficiency.
  • Knowledge of social media management for promoting products and engaging customers.
  • Basic accounting and bookkeeping skills to track revenue, expenses, and invoicing.
