Executive Assistant Job Description

We are seeking a proactive and detail-oriented Executive Assistant to join our team and support key executives in a fast-paced environment. In this role, you will manage scheduling, travel arrangements, and correspondence while ensuring confidentiality and efficiency in all tasks.

As an Executive Assistant, you will also contribute to projects, events, and basic accounting or bookkeeping activities. Your ability to multitask, prioritize, and execute with precision will directly impact the productivity and success of our leadership team.

In this role, you will: 

  • Email and Inbox Management: Monitor and respond to emails in real time, ensuring efficient communication.
  • Administrative Support: Handle personal and professional administrative tasks with discretion.
  • Meeting Coordination: Take detailed meeting minutes and follow up on action items.
  • Travel Coordination: Manage travel arrangements, including booking and itinerary planning.
  • Calendar Management: Organize schedules and appointments for executives and key team members.
  • Event Planning: Organize and execute meetings, events, and team-building activities.
  • Document Preparation: Create, review, and organize reports, presentations, and spreadsheets.
  • Data Management: Analyze and organize data to support strategic decisions.
  • Social Media: Post updates and manage engagement on social media platforms.
  • Office Management: Oversee general office duties to ensure smooth operations.
  • Bookkeeping: Handle basic accounting tasks, including payroll and expense tracking.
  • Project Support: Assist with project management activities and ad-hoc tasks.

Essential Skills & Qualifications:

  • Technical Proficiency: Advanced knowledge of Microsoft Office Suite and Google Workspace.
  • Communication Skills: Exceptional verbal and written communication abilities.
  • Attention to Detail: Strong focus on accuracy and precision in all tasks.
  • Organizational Skills: Excellent time-management skills to handle multiple responsibilities effectively.
  • Independence: Ability to work autonomously and meet deadlines with minimal supervision.

Preferred Qualifications:

  • Problem-Solving: A proactive approach to identifying and resolving challenges efficiently.
  • Event Management Experience: Familiarity with planning and executing professional events.
  • Social Media Knowledge: Basic understanding of managing and posting on social media platforms.
  • Accounting Background: Experience with basic bookkeeping or financial management tasks.
