Virtual Assistant Job Description
We are seeking a highly organized Virtual Assistant to support our real estate operations remotely. In this role, you will handle lease administration, resident relations, financial reporting, and other administrative tasks critical to the success of our properties.
Responsibilities include coordinating the move-in/move-out process, responding to maintenance requests, and ensuring timely rent collection. If you excel in organization, communication, and multitasking, this role provides an opportunity to contribute to a dynamic real estate environment.
In this role, you will:
- Resident Relations: Act as the primary point of contact for current and prospective residents, delivering exceptional customer service and addressing inquiries and concerns promptly.
- Lease Administration: Process lease applications, renewals, and amendments efficiently, ensuring compliance with all legal and regulatory requirements.
- Move-In/Move-Out Process: Facilitate smooth transitions for residents by conducting inspections, coordinating with maintenance teams, and addressing move-related concerns.
- Maintenance Requests: Respond to maintenance requests promptly, coordinating with staff or contractors to resolve issues efficiently.
- Rent Collection: Monitor rent payments, send reminders, and implement collection strategies to ensure timely payments.
- Financial Reporting: Prepare accurate reports, such as rent rolls and delinquency reports, providing valuable insights into property performance.
- Communication: Maintain clear and effective communication with residents, property owners, vendors, and other stakeholders to keep everyone informed of updates and deadlines.
- Administrative Support: Organize files, manage schedules, and perform other administrative duties to ensure seamless real estate operations.
Essential Skills & Qualifications:
- Professional Experience: Proven experience as a Virtual Assistant or in a similar administrative role within the real estate industry.
- Technical Proficiency: Skilled in Microsoft Office Suite (Word, Excel, PowerPoint), Google Drive, Dropbox, and property management software.
- Communication Skills: Excellent written and verbal communication skills to interact effectively with diverse stakeholders.
- Organizational Skills: Strong ability to manage multiple tasks, prioritize responsibilities, and meet deadlines.
- Attention to Detail: Meticulous in ensuring accuracy in lease processing, financial reporting, and correspondence.
- Problem-Solving Skills: Adept at identifying and resolving issues efficiently to maintain smooth operations.
- Time Management: Capable of handling a wide range of responsibilities in a fast-paced environment.
Preferred Qualifications:
- Familiarity with property management systems and tools.
