Executive Assistant Agent Job Description
We are seeking an organized and proactive Executive Assistant to support our leadership team and drive efficiency across the company. In this role, you will manage scheduling, oversee administrative tasks, and coordinate resources, ensuring the smooth operation of daily activities.

In this role, you will:
- Oversee hiring procedures for the department, ensuring a seamless recruitment process.
- Plan and execute events, including team meetings, professional development sessions, and other department-related activities.
- Organize travel arrangements, manage department budgets, and process reimbursements in a timely manner.
- Resolve vendor-related issues, including concerns around shipments, billing discrepancies, and statements.
- Perform any other related duties as assigned, contributing to the department’s overall success.
- Provide exceptional customer service through email responses (and phone calls when necessary), assisting both internal teams and external clients.
- Manage basic bookkeeping, including budgeting, accounts payable/receivable, and payroll processing.
- Draft reports, correspondence, and other essential documents to support daily operations.
- Attend meetings, taking accurate notes, and ensuring follow-up actions are tracked.
- Collaborate with managers and supervisors in developing and refining internal policies and procedures.
- Handle administrative tasks efficiently, ensuring smooth operations within the department.
- Assist in creating basic marketing materials to support ongoing initiatives.
Essential Skills & Qualifications:
- High attention to detail, ensuring accuracy and precision in all administrative tasks.
- Exceptional organizational skills, capable of managing multiple responsibilities effectively in a dynamic startup environment.
- Proficiency in Microsoft Tools and Google Suite, with strong knowledge of office productivity applications.
- Ability to meet tight deadlines and work independently with minimal supervision.
- Strong communication skills, both written and verbal, to liaise effectively across various teams.
- Proven ability to adapt quickly to changing priorities in a fast-paced, tech-driven environment.
Preferred Qualifications:
- Previous experience as an Executive Assistant or similar role in a startup or tech-focused environment.
- Familiarity with project management tools and processes.
- Experience managing social media accounts or assisting with digital marketing efforts.
- A proven track record of successfully organizing events and managing logistics.
- A proactive mindset with the ability to anticipate needs and streamline operations.
