Virtual Assistant Agent Job Description

We are seeking a proactive and detail-oriented Virtual Assistant to join our tech startup and provide essential administrative and operational support. In this role, you will oversee tasks such as hiring coordination, travel arrangements, and bookkeeping, while also contributing to policy development and event planning.

Responsibilities include managing communication channels, resolving vendor issues, and assisting with marketing materials to support department initiatives. If you are organized, resourceful, and thrive in a dynamic environment, this role offers an exciting opportunity to grow with our team.

In this role, you will: 

  • Oversee hiring procedures for the department, ensuring a seamless recruitment process.
  • Plan and execute events, including team meetings, professional development sessions, and other department-related activities.
  • Organize travel arrangements, manage department budgets, and process reimbursements in a timely manner.
  • Resolve vendor-related issues, including concerns around shipments, billing discrepancies, and statements.
  • Perform any other related duties as assigned, contributing to the department’s overall success.
  • Provide exceptional customer service through email responses (and phone calls when necessary), assisting both internal teams and external clients.
  • Manage basic bookkeeping, including budgeting, accounts payable/receivable, and payroll processing.
  • Draft reports, correspondence, and other essential documents to support daily operations.
  • Attend meetings, taking accurate notes and ensuring follow-up actions are tracked.
  • Collaborate with managers and supervisors in developing and refining internal policies and procedures.
  • Handle administrative tasks efficiently, ensuring smooth operations within the department.
  • Assist in creating basic marketing materials to support ongoing initiatives.

Essential Skills & Qualifications:

  • Strong organizational skills, with the ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • Attention to detail, ensuring accuracy and quality in all tasks and documentation.
  • Proficiency in Microsoft Tools and Google Suite, with a solid grasp of essential office applications.
  • Excellent communication skills, capable of interacting clearly and professionally across various channels.
  • Ability to meet deadlines and take initiative with minimal supervision, thriving in a dynamic startup atmosphere.
  • Proven ability to adapt to changing priorities and challenges while maintaining a proactive approach.

Preferred Qualifications:

  • Previous experience as a Virtual Assistant or in a similar administrative role, preferably within a tech startup environment.
  • Familiarity with vendor management processes and basic marketing tools.
  • Knowledge of bookkeeping software or platforms for managing accounts and payroll.
  • Experience planning and executing events or professional development sessions.
  • A track record of improving administrative processes to enhance team efficiency.
